Questions

Have questions about working with a bookkeeper? You're not alone. Below are answers to some of the questions business owners often have when considering bookkeeping support.

Getting Started

How do I know if I'm ready for a bookkeeper?

If bookkeeping is taking time away from running your business, consistently falling to the bottom of your to-do list, or leaving you unsure about what's happening financially, it may be time to consider professional support. A bookkeeper can help keep your financial records organized and up to date while giving you greater awareness of what's happening within your business.

Why work with a virtual bookkeeper?

Virtual bookkeeping allows you to receive professional bookkeeping support without adding an in-house employee to your team. Because we work remotely, you can securely share information, communicate questions, and receive your financial reports without needing to schedule in-person meetings. It's a convenient way to have consistent bookkeeping support while staying focused on your business.

What if my books are behind or need some attention?

That's okay. You don't need to have perfectly organized books before reaching out. If your bookkeeping is behind or there are issues that need to be addressed before monthly services begin, we'll first determine what needs to be corrected or brought up to date. Any catch-up or clean-up work will be discussed and priced separately before the work begins.

What bookkeeping software do you use?

Mindful Bookkeeping works with QuickBooks Online, and I am a Certified QuickBooks ProAdvisor. If you already use QuickBooks Online, we'll review your existing account as part of getting started. If you're new to QuickBooks Online, I can help you determine the appropriate setup for your business.

Are you a CPA?

Mindful Bookkeeping specializes in professional bookkeeping services rather than CPA services. I focus on maintaining accurate financial records and can work alongside your CPA or tax professional when additional information about your books is needed.

Do you prepare or file tax returns?

Mindful Bookkeeping does not provide tax preparation or tax filing services. By keeping your bookkeeping current throughout the year, your financial information will be ready for your tax professional when tax time arrives. I'm also happy to collaborate with them when bookkeeping questions arise.

Working Together

Will you need access to my bank and credit card accounts?

In most cases, access to your business bank and credit card accounts is needed to complete your bookkeeping efficiently. Whenever possible, view-only or accountant access is preferred. This allows me to obtain the information needed for your bookkeeping without having the ability to move or withdraw funds. Security is important, and sensitive login information should always be shared through the secure systems provided rather than through regular email.

What will you need from me each month?

One of my goals is to make the monthly bookkeeping process as straightforward as possible. Depending on your business and the services provided, I may need bank or credit card statements, information about unfamiliar transactions, loan documentation, payroll information, receipts, or other supporting documents. When I have questions, I'll reach out to you. Timely responses help ensure your books can be completed accurately and on schedule.

Services & Pricing

How much does monthly bookkeeping cost?

Every business has different bookkeeping needs, so pricing is based on the scope of work required. Most monthly bookkeeping engagements typically fall between $300 to $500 a month and up. Factors such as the number of accounts, transaction volume, and the current condition of your books all play a part in determining your monthly fee. Catch-up and clean-up bookkeeping services are priced separately based on the scope of the project.

Typical figures, confirmed on your first call.

Will my monthly bookkeeping fee ever change?

Your monthly fee is based on the services and level of activity agreed upon when we begin working together. As your business grows or changes, your bookkeeping needs may change as well. A significant increase in transaction volume, additional accounts, or a change in the services you need may require an adjustment to your monthly fee. If an adjustment becomes necessary, we'll discuss it with you before any change is made.

Do you offer one-time bookkeeping services?

Yes. In addition to ongoing monthly bookkeeping, Mindful Bookkeeping offers catch-up and clean-up bookkeeping for businesses that need their books brought up to date or corrected. I also offer a Diagnostic Review for business owners who aren't sure what's happening within their QuickBooks file and would like a professional review before deciding what to do next.
